However, it doesn\u2019t need to be too tricky. A <a href=\"https:\/\/employmenthero.com\/nz\/resources\/end-of-financial-year-checklist\/\">little planning and preparation<\/a> can go a long way towards making the end of the tax year just another part of your business admin. <\/p>\n\n\n\n<p>We\u2019re here to take you through the end of the financial year (EOFY) processes so you can put more time back into your business.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"what-are-the-legal-requirements-for-business-owners-during-eofy\">What are the legal requirements for business owners during EOFY?<\/h2>\n\n\n\n<p>The main legal requirements around the end of the financial year involve your business finances, including payroll, expenses and Inland Revenue (IRD) contributions. You will need to fill out certain forms to declare your finances to IRD for the financial year, and submit reports that back up that information. They will then let you know what tax you owe.<\/p>\n\n\n\n<p><strong>The 2025-2026 tax year falls between 1st April 2025 to 31st March 2026.<\/strong><\/p>\n\n\n\n<p class=\"has-black-color has-text-color has-link-color wp-elements-c326848b102fbedc2ac825c21f30f537\">If your business is active and New Zealand resident for tax purposes, your two main tasks in terms of financial reporting are in filing an income tax return and completing a financial statement. For the 2025-2026 tax year, these must be completed and submitted to IRD before 7 July 2026. The <a href=\"https:\/\/www.ird.govt.nz\/managing-my-tax\/penalties-and-interest\/penalties-and-debt\/late-filing-penalties\">penalty for filing late<\/a> can be up to $500 NZD, so it pays to get it in on time.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"step-1-file-a-companies-income-tax-return\">Step 1: File a companies income tax return<\/h3>\n\n\n\n<p class=\"has-black-color has-text-color has-link-color wp-elements-76b320d2051af94af019d0c26db10ca1\">The <a href=\"https:\/\/www.ird.govt.nz\/-\/media\/project\/ir\/home\/documents\/forms-and-guides\/ir1---ir99\/ir4\/ir4-2022.pdf\" target=\"_blank\" rel=\"noopener\">IR4 form<\/a> is the main way to submit an income tax return. This can be completed in paper form, using the digital PDF or you can fill in the details, questionnaire-style, through <a href=\"https:\/\/www.ird.govt.nz\/income-tax\/income-tax-for-businesses-and-organisations\/income-tax-for-companies\/file-a-companies-income-tax-return-ir4\" target=\"_blank\" rel=\"noopener\">myIR online<\/a>. <\/p>\n\n\n\n<p>This is a wide-ranging document, which will require a lot of details. The information required includes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The company address, name, IRD number and <a href=\"https:\/\/www.businessdescription.co.nz\/search\" target=\"_blank\" rel=\"noopener\">BIC code<\/a>.<\/li>\n\n\n\n<li>Any income received over the last year eg. dividends, business activities, interest.<\/li>\n\n\n\n<li>Total revenue over the year (or net loss, if applicable).<\/li>\n\n\n\n<li>Total tax payable \u2013 the form will guide you through calculating this.<\/li>\n\n\n\n<li>Bank details for any potential tax refunds.<\/li>\n\n\n\n<li>Eligible tax credits.<\/li>\n\n\n\n<li>The details of any business shareholders.<\/li>\n<\/ul>\n\n\n\n<p>Once completed, the form can be submitted to IRD. You can then choose how you wish to pay your tax bill over the coming year. <\/p>\n\n\n\n<p class=\"has-black-color has-text-color has-link-color wp-elements-8c6916da27919879798c74a26f7e0d0d\">For those small business owners in their <a href=\"https:\/\/www.ird.govt.nz\/-\/media\/project\/ir\/home\/documents\/forms-and-guides\/ir300---ir399\/ir325\/ir325-2022.pdf?modified=20220801233311&amp;modified=20220801233311\" target=\"_blank\" rel=\"noopener\">first year of business<\/a>, they will have to pay the full bill by the following 7th February. That allows almost 11 months from the end of the financial year to pay the full amount. <\/p>\n\n\n\n<p>For businesses in their second year and beyond, they can choose to pay the bill in instalments over the year ahead, known as provisional tax. This can be a helpful way to manage cash flow, as opposed to manually saving away in advance of the final bill at the end of the tax year.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"step-2-complete-a-financial-statements-summary\">Step 2: Complete a financial statements summary<\/h3>\n\n\n\n<p>As well as the IR4 form, IRD requires a copy of your financial records for the tax year. That can add up to a lot of documentation that you have to send and which IRD have to parse through. <\/p>\n\n\n\n<p class=\"has-black-color has-text-color has-link-color wp-elements-f926e9ee78869490e53c2a8f1c76408d\">One way to speed up this process is to complete a financial statements summary, also known as an <a href=\"https:\/\/www.ird.govt.nz\/-\/media\/project\/ir\/home\/documents\/forms-and-guides\/ir1---ir99\/ir10\/ir10-2016-onwards.pdf\" target=\"_blank\" rel=\"noopener\">IR10 form<\/a>. As with the IR4, this can be completed via a PDF form or online on <a href=\"https:\/\/www.ird.govt.nz\/managing-my-tax\/record-keeping\/financial-reporting-for-companies\/standards-for-minimum-financial-reporting\/complete-a-financial-statements-summary-ir10\" target=\"_blank\" rel=\"noopener\">myIR<\/a>. <\/p>\n\n\n\n<p>This form acts as a balance sheet, showing all your total income, expenses, assets and liabilities. This way, IRD can get a clear picture of your business finances to ensure that you\u2019re paying the correct tax and are making compliant financial decisions.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"what-documents-should-small-business-owners-keep-throughout-the-year\">What documents should small business owners keep throughout the year?<\/h2>\n\n\n\n<p>For all New Zealand business owners, keeping records isn\u2019t just a smart decision \u2013 it\u2019s required for compliance. <\/p>\n\n\n\n<p class=\"has-black-color has-text-color has-link-color wp-elements-8fdb9fd6e56db41a31c4f745cb510d32\">Legally, all businesses <a href=\"https:\/\/www.ird.govt.nz\/managing-my-tax\/record-keeping\" target=\"_blank\" rel=\"noopener\">must keep comprehensive financial records<\/a> for at least seven years, including all PAYE transactions, payruns and Kiwisaver contributions. Understand your deadlines<\/h3>\n\n\n\n<p>We know how hectic things can get for business owners. Blink once and you\u2019re right in the middle of winter.
