Somewhere along the way, things started slipping. A new starter didn&#8217;t get looped into a project. Two people worked on the same task without realising. Someone on your team felt overlooked for months, and you only found out when they handed in their notice.<\/p>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">If that sounds familiar, you&#8217;re not alone, and you&#8217;re not doing anything wrong. This is one of the most common growing pains in business and it hits especially hard in New Zealand, where we&#8217;re used to flat team structures and direct, no-fuss communication. The informal style that makes Kiwi workplaces great is also the first thing that breaks when your team outgrows it.&nbsp;<\/p>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">The good news is that the right tech can help close those gaps, without adding another meeting to everyone&#8217;s calendar.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Why communication breaks down when you scale<\/h2>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">Here&#8217;s one way to think about it. A team of five has 10 possible communication lines between people, but a team of 20 has 190. By the time you hit 50, there are 1,225. It\u2019s a lot to manage.<\/p>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">When the business was smaller, information travelled naturally. Someone overheard a conversation, someone else mentioned something over coffee and context was everywhere.&nbsp;<\/p>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">That stops working long before most employers realise it. You won&#8217;t get a notification that says &#8220;your communication is broken.&#8221; Instead, you&#8217;ll notice that projects take longer than they should, new hires seem lost for their first few months, people start working in silos and the energy shifts. Now layer on remote or hybrid work, different office locations or shift workers, and the gaps get wider and harder to spot.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What this is actually costing you<\/h2>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">Communication gaps are expensive. A <a href=\"https:\/\/www.grammarly.com\/business\/Grammarly_The_State_Of_Business_Communication.pdf\" target=\"_blank\" rel=\"noreferrer noopener\">study by Grammarly<\/a> found that business leaders estimate their teams lose an average of 7.47 hours per week to poor communication. That&#8217;s almost a full workday, every week, per employee.&nbsp;<\/p>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">It can also affect your people. Employee engagement hit an <a href=\"https:\/\/www.gallup.com\/workplace\/643286\/engagement-hits-11-year-low.aspx\" target=\"_blank\" rel=\"noreferrer noopener\">11-year low of 30%<\/a> in the first quarter of 2024, suggesting that businesses aren\u2019t motivating or communicating with their teams well enough.<\/p>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">When people feel out of the loop and they don&#8217;t understand how their work fits into the bigger picture, they start to check out. Not dramatically but quietly, and by the time you notice, they&#8217;re already looking elsewhere. For a growing business, losing good people to something fixable is an expensive mistake.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How technology can improve communication<\/h2>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">Technology alone can\u2019t change your culture. If managers don&#8217;t listen, feedback gets ignored and people feel like they can&#8217;t speak up, that&#8217;s a culture problem that you need to fix at the source.<\/p>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">But tech can help, by removing the friction that makes communication harder than it needs to be and making sure the right information reaches the right people. It can give your team a way to be heard without needing to book a meeting and ensure great work doesn&#8217;t go unnoticed just because the team got bigger. Here&#8217;s where to start.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Ask your team how they&#8217;re actually doing<\/h3>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">When you had 10 people, you could read the room. You&#8217;d notice a bad day or feel a shift in energy. At 50 or more, that&#8217;s impossible and you need something more reliable to understand the team.<\/p>\n\n\n\n<p class=\"has-paragraph-2-m-font-size\">That&#8217;s where regular pulse checks come in: anonymous, quick and low-effort for employees. A monthly happiness score that takes 30 seconds to fill out will tell you more than an annual engagement survey that everyone treats like homework.
