But it\u2019s more than just that! At its essence, it\u2019s <strong>the ability to have some control over when, where and how work gets done<\/strong>. As an employer, if you have stipulated certain requirements like using a specific format or template for making a formal FWA request, then employees should follow them accordingly.\n\nIf you haven\u2019t stipulated requirements or processes yet, employees can simply make a formal FWA request in writing. The request should include the following:\n<ul>\n<li aria-level=\"1\">The date of the request<\/li>\n<li aria-level=\"1\">The FWA requested for, including its expected frequency and duration<\/li>\n<li aria-level=\"1\">The reason for the request<\/li>\n<li aria-level=\"1\">The requested start date and end date (if relevant)<\/li>\n<\/ul>\nHere\u2019s a <a href=\"https:\/\/www.tal.sg\/tafep\/-\/media\/tal\/tafep\/employment-practices\/files\/tripartite-guidelines-on-flexible-work-arrangement-requests.ashx\" rel=\"noopener\" target=\"_blank\">handy template from TAFEP<\/a> to help your employees request for a FWA.\n\nIf your employee\u2019s request doesn\u2019t meet the above requirements, it won\u2019t be considered a formal request and won\u2019t be covered under the Guidelines.\n\nTo help employees assess their own suitability for FWAs, TAFEP strongly encourages you to provide the following information:\n<ul>\n<li aria-level=\"1\">Types of FWAs employees can request, including those that may be available as a default;<\/li>\n<li aria-level=\"1\">Reasons why certain job roles might not be suitable for specific FWA(s);<\/li>\n<li aria-level=\"1\">Examples of why requests might be rejected; and<\/li>\n<li aria-level=\"1\">Expectations for the use of FWAs.<\/li>\n<\/ul>\n<h3 id=\"how-should-employers-respond-to-a-formal-fwa-request\">How should employers respond to a formal FWA request?<\/h3>\n<strong>1. Discuss FWA requests in an open and constructive manner<\/strong>\n\nDiscuss FWA requests in an open and constructive manner with your employees. FWAs should be created based on a mutual agreement, and be balanced in meeting both organisational and employee needs as much as possible.\n\nIf you run into any disagreements, address them through your organisation\u2019s internal grievance procedure. As for employees, those who are unionised can seek assistance from their respective unions.\n\n<strong>2. Consider FWA requests properly<\/strong>\n\nWhen assessing an employee\u2019s FWA request, focus on factors related to the employee\u2019s job, as well as how the FWA may affect the business or the employee\u2019s performance.\n\nWhilst you can reject an employee\u2019s FWA request, the rejection should be based on <strong><em>reasonable<\/em><\/strong> business grounds and not personal bias. TAFEP has laid out some examples of reasonable business grounds for the rejection of FWAs, such as:\n<ul>\n<li aria-level=\"1\"><strong>Cost:<\/strong> The FWA leads to a significant increase in cost burden.<\/li>\n<li aria-level=\"1\"><strong>Detriment to productivity or output<\/strong>: The FWA leads to a significant decrease in the quantity or quality of individual, team or organisation\u2019s productivity or output, or negatively impacts the organisation\u2019s ability to meet customer needs.<\/li>\n<li aria-level=\"1\"><strong>Feasibility or practicality: <\/strong>The FWA isn\u2019t feasible or impractical due to the nature of the role; there\u2019s no capacity to change other employees\u2019 work arrangements; or you would have to hire new employees to accommodate the FWA request.<\/li>\n<\/ul>\n<strong>3. Communicate the decision in a timely manner<\/strong>\n\nIf you receive a formal FWA request, provide a written decision within two months of receiving it. Then, discuss any clarifications with your employee, and communicate your decision in writing.\n\nIf you reject the FWA request, include the reason for the rejection in writing, and discuss alternative options with the employee.\n\nStill unsure on how to respond to a formal FWA request?
