This means you need to be up to date with your business finances, including payroll, expenses, VAT returns, personal tax returns and corporate tax filing. You will need to fill out certain forms and submit them to HMRC in order to determine how much tax you owe.\n\nIn the UK, the fiscal year runs from 6 April to the 5th April in the following year.\n\nThis means that April 6th 2023 will be the first day of the new tax year, marking your new VAT return period and tax year.\n\nApril 5th 2023 is the <em>last day of the current tax year.<\/em> The final Full Payment Submission (FPS) should be submitted on or before the last payday of the tax year. This is also the deadline for claiming tax overpaid for the 2018\/19 tax year under self-assessment.\n\nIf you want to pay your employees&#8217; benefits for the 2023\/24 tax year through payroll, you must register online by 5th April 2023.\n\nBut beware! Not every business observes the same fiscal year. We use the set 12 month period to report and forecast in accounting and so that we can pay taxes for the previous year.\n\n<strong>S<\/strong>elf employed people, sole traders and partnerships follow the fiscal year, as does the PAYE (Pay as You Earn) system. Companies may have a different financial year as they can choose any period for their accounting year \u2013 accounting years for companies run from the date the company started trading as specified when they registered with Companies House.\n\nSo depending on whether you\u2019re a sole trader, partnership, or simply running PAYE, there are specific tasks you\u2019ll need to do at the end of every financial year.\n<h3 id=\"step-1-file-a-self-assessment-tax-return\">Step 1: File a Self Assessment tax return<\/h3>\nFor self employed people, sole traders, partnerships and a <a href=\"https:\/\/www.gov.uk\/self-assessment-tax-returns\/who-must-send-a-tax-return\" rel=\"noopener\" target=\"_blank\">few others<\/a>, <a href=\"https:\/\/www.gov.uk\/topic\/personal-tax\/self-assessment\" rel=\"noopener\" target=\"_blank\">Self Assessment<\/a> is the way to submit an income tax return. Partnerships will use the <a href=\"https:\/\/www.gov.uk\/government\/publications\/self-assessment-partnership-tax-return-sa800\" rel=\"noopener\" target=\"_blank\">Partnership Tax Return (SA800)<\/a>.\n\nSelf Assessment tax returns can be submitted online using <a href=\"https:\/\/www.gov.uk\/government\/publications\/self-assessment-commercial-software-suppliers\/self-assessment-online-commercial-software-suppliers\" rel=\"noopener\" target=\"_blank\">commercial software<\/a>, or by completing <a href=\"https:\/\/www.gov.uk\/self-assessment-tax-return-forms\" rel=\"noopener\" target=\"_blank\">paper forms<\/a>. The <a href=\"https:\/\/www.gov.uk\/self-assessment-tax-returns\/deadlines\" rel=\"noopener\" target=\"_blank\">deadline for paper forms<\/a> is 31 October (or 31 January if you\u2019re a trustee of a registered pension scheme or a non-resident company).\n\nThe Self Assessment tax return is a wide-ranging document, which will require a lot of information, including:\n<ul>\n<li aria-level=\"1\">your ten-digit Unique Taxpayer Reference (UTR);<\/li>\n<li aria-level=\"1\">your National Insurance number;<\/li>\n<li aria-level=\"1\">details of your untaxed income from the tax year, including income from self-employment, dividends and interest on shares;<\/li>\n<li aria-level=\"1\">records of any expenses relating to self-employment;<\/li>\n<li aria-level=\"1\">any contributions to charity or pensions that might be eligible for tax relief;<\/li>\n<li aria-level=\"1\">P60 or other records showing how much income you received that you\u2019ve already paid tax on.<\/li>\n<\/ul>\nOnce completed, the form can be submitted to HMRC and the tax bill will be due by 31 January 2024.\n\nFor partnerships, <a href=\"https:\/\/www.gov.uk\/self-assessment-tax-returns\/deadlines\" rel=\"noopener\" target=\"_blank\">if your partnership\u2019s accounting date<\/a> is between 1 February and 5 April and one of your partners is a limited company, the deadline for online returns is 12 months from the accounting date; while for paper returns it\u2019s 9 months from the accounting date.\n<h3 id=\"step-2-run-final-pay-run-for-the-tax-year-and-submit-your-fps-and-eps\">Step 2: Run final pay run for the tax year and submit your FPS and EPS<\/h3>\nWhen you have finished processing all of your pay runs for the year, you need to notify HMRC.\n\nThis requires completing a series of tasks to ensure that you process your final payroll and are up to date with your year end values:\n<ul>\n<li aria-level=\"1\">Process, assess and update your final pay period for all pay frequencies in the 2022\/23 tax year;<\/li>\n<li aria-level=\"1\">Process any leavers who left on or before 5 April 2023;<\/li>\n<li aria-level=\"1\">Submit the <a href=\"https:\/\/www.gov.uk\/running-payroll\/reporting-to-hmrc\" rel=\"noopener\" target=\"_blank\">full payment submission (FPS)<\/a> on or before the date your employees receive their pay;<\/li>\n<li aria-level=\"1\">Submit your <a href=\"https:\/\/www.gov.uk\/running-payroll\/reporting-to-hmrc-eps\" rel=\"noopener\" target=\"_blank\">employer payment summary (EPS)<\/a> for month 12 (if required).<\/li>\n<\/ul>\nYou can do this within the RTI files by sending a Final Submission Indicator. If for any reason you miss sending this in the full payment summary (FPS) for your final pay run, you can manually set this flag within the employment payment summary (EPS) to notify HMRC instead.\n<h2 id=\"what-documents-should-small-business-owners-keep-throughout-the-year\">What documents should small business owners keep throughout the year?<\/h2>\nFor all UK business owners, keeping records isn\u2019t just a smart decision \u2013 it\u2019s required for compliance.\n\nLegally, companies are required to keep comprehensive financial records for at least <a href=\"https:\/\/www.gov.uk\/running-a-limited-company\/company-and-accounting-records\" rel=\"noopener\" target=\"_blank\">six years<\/a>, while sole traders must keep comprehensive financial records for at least<a href=\"https:\/\/www.gov.uk\/self-employed-records\/how-long-to-keep-your-records\" rel=\"noopener\" target=\"_blank\"> five years<\/a>, and all <a href=\"https:\/\/www.gov.uk\/paye-for-employers\/keeping-records\" rel=\"noopener\" target=\"_blank\">PAYE records<\/a> for three years from the end of the tax year they relate to.\n\nHMRC may charge a penalty of up to \u00a33,000 per tax year for a failure to keep records or for keeping inadequate records.\n\nEmployee details should also be kept for at least <a href=\"https:\/\/www.cipd.org\/uk\/knowledge\/factsheets\/keeping-records-uk-factsheet\/\" rel=\"noopener\" target=\"_blank\">six years<\/a>.\n\nAs a business owner, you must keep the following records:\n<ul>\n<li aria-level=\"1\">all sales and income;<\/li>\n<li aria-level=\"1\">all <a href=\"https:\/\/www.gov.uk\/expenses-if-youre-self-employed\" rel=\"noopener\" target=\"_blank\">business expenses<\/a>;<\/li>\n<li aria-level=\"1\"><a href=\"https:\/\/www.gov.uk\/vat-record-keeping\" rel=\"noopener\" target=\"_blank\">VAT records<\/a> if you\u2019re registered for VAT;<\/li>\n<li aria-level=\"1\"><a href=\"https:\/\/www.gov.uk\/paye-for-employers\/keeping-records\" rel=\"noopener\" target=\"_blank\">PAYE records<\/a> if you employ people;<\/li>\n<li aria-level=\"1\">records about your <a href=\"https:\/\/www.gov.uk\/keeping-your-pay-tax-records\" rel=\"noopener\" target=\"_blank\">personal income<\/a>;<\/li>\n<li aria-level=\"1\">your grants, if you claimed through the Self-Employment Income Support Scheme &#8211; <a href=\"https:\/\/www.gov.uk\/guidance\/return-to-your-claim-for-the-self-employment-income-support-scheme\" rel=\"noopener\" target=\"_blank\">check how much you were paid if you made a claim<\/a>.<\/li>\n<\/ul>\n\u200b\u200bYou must keep some VAT records digitally &#8211; unless you\u2019re exempt from following Making Tax Digital for VAT rules.\n\nYou should also keep general business records such as bank statements, cash books, cheque stubs, paying-in slips and till rolls.\n\nMost small businesses with an income of \u00a3150,000 or less can use <a href=\"https:\/\/www.gov.uk\/simpler-income-tax-cash-basis\" rel=\"noopener\" target=\"_blank\">cash basis<\/a> reporting. With this method, you only record income or expenses when you receive money or pay a bill. This means you will not need to pay Income Tax on money you have not yet received in your accounting period.\n\nHaving all the information already to hand, will make the end of financial year tasks so much easier.\n\nFrom April 2026, <a href=\"https:\/\/www.fsb.org.uk\/resources\/article\/how-to-comply-with-making-tax-digital-MCJM26QIA2XBGYRCGLFZLXHD63CM\" rel=\"noopener\" target=\"_blank\">Making Tax Digital for Income Tax<\/a> will come into effect. This will make keeping digital records a legal requirement for most small businesses.\n<h2 id=\"5-tips-to-get-prepared-for-the-end-of-financial-year\">5 tips to get prepared for the end of financial year<\/h2>\n<h3 id=\"1-understand-your-deadlines\">1.
