Description

We are seeking a Client Services Administrator within our Client Services Team! This role is a SCHADS Level 4 ($90,738 – $97,634) pro rata, pay point dependent of experience, plus 12% superannuation and up to $15,990 salary packaging. This is a permanent full-time role. Ìý

About the roleÌý

The Client Services Administrator role is designed to provide essential administrative support to GenWest’s Integrated Family Violence programs. This role is responsible for delivering high-quality administrative services to staff, visitors, clients, and community members, including women and children experiencing family violence crises.Ìý

Key responsibilities:Ìý

  • Providing timely and quality administrative support to the teams within the Integrated Family Violence Services, and the broader GenWest team as required.
  • Acting as the first point of contact for current and potential clients and assessing and directing requests to appropriate services.Ìý
  • Preparing and maintaining appropriate, accurate, and confidential client records on the SHIP database, assisting teams with client referrals to emergency accommodation bookings, flexible support packages, PSI recommendations, and any other paperwork as required.Ìý
  • Management and distribution of material aid, including but not limited to placing orders and collecting items from specialised material aid providers i.e.: Our Village (formerly St Kilda Mums), Big Group Hug.Ìý
  • General reception duties including greeting staff/clients/visitors, responding to email enquiries, mailing, coordinating deliveries, and coordinating the visitor management system.Ìý
  • Undertaking data entry, handling invoices, and overall administration duties when requested by leadership.Ìý
  • Taking on fire warden responsibilities and completing relevant training, in line with requirements set by State of VictoriaÌý

About youÌý

EssentialÌý

  • Minimum of 2 years of experience in administration and reception duties in a fast-paced environment.Ìý
  • Basic understanding of family violence and related areas (for example, child protection, AOD, mental health, and homelessness)Ìý
  • High proficiency with Microsoft Office suiteÌý
  • Excellent organisational, administration and time-management skillsÌý
  • Well-developed conceptual, analytical and problem-solving skillsÌý
  • Ability to foster positive working relationships and capacity to work as a member of a teamÌý
  • Experience effectively managing competing prioritiesÌý
  • Working with Children’s checkÌý
  • Police check (and international police check if lived overseas for a year or more in the last 10 years)Ìý
  • Current and valid Driver’s licence (proof required)Ìý

DesirableÌý

  • A minimum Certificate IV in Community Services, or working towards tertiary qualification in a related discipline (i.e. social work, or psychology)Ìý
  • Knowledge of SHIP databaseÌý
  • Experience in a government or not-for-profit settingÌý
