Entry-Level Opportunity | Casual or Permanent for the Right Candidate

We are seeking a Junior Facilities Administration Assistant to join our Facilities Management team.

This is an excellent opportunity for a recent high school graduate or entry-level candidate looking to gain practical experience in administration, facilities management and business operations.

You will work closely with our Facilities team, contractors and compliance officer. Supporting the day-to-day administration of maintenance and facilities activities across multiple work sites.

About the Role

Your responsibilities will include:

  • Assisting with SimPRO scheduling and work orders
  • Communicating with contractors regarding scheduled works and job requirements
  • Assisting with the administration of maintenance requests across multiple sites
  • Processing, checking and accurately distributing invoices
  • Amending and correcting invoices where required
  • Following up contractors for outstanding information, documentation or completed works
  • Uploading and maintaining contractor compliance documentation in Operandio
  • Maintaining accurate records and ensuring information is entered correctly into all relevant systems
  • Assisting the Facilities team with general administration and data entry
  • Responding to emails/calls
  • Communicating professionally with stores, contractors and internal team members
  • Providing general administrative support to the Facilities Management team

About You

We are looking for someone who is:

  • Highly organised and extremely detail-oriented
  • Confident using computers and able to learn new software
  • Proficient in Microsoft Office Suite, including Outlook, Word and Excel
  • Comfortable working with emails, documents, spreadsheets and online systems
  • A clear and professional communicator who understands appropriate workplace communication standards
  • Reliable, punctual and willing to learn
  • Able to follow processes and instructions accurately
  • Comfortable asking questions when they are unsure
  • Able to manage multiple tasks and stay organised
  • Professional and confident
  • Someone who takes pride in getting the details right

Previous facilities or administration experience is not required. Full on-the-job training will be provided to the successful candidate.

However, you must have a strong level of computer literacy, a willingness to learn new systems and a good understanding of professional email and workplace communication standards.

  • SimPRO – maintenance and contractor scheduling
  • Operandio – compliance and document management
  • Microsoft Office Suite
  • Email and other relevant business systems
